General
Adherence to Rules
All Brussels Airlines VA pilots must comply with the rules outlined in this document. These rules govern the proper use of our services and ensure a fair and professional environment for all members.
Policy Changes
Brussels Airlines VA reserves the right to modify the rules, policies, and any related aspects at any time, including minor adjustments without prior notice.
Notification of Changes
While minor updates may not require formal notification, significant changes impacting pilots or their rights may be communicated through appropriate channels, such as email, website updates, or platform notifications.
Continued Use
By continuing to use Brussels Airlines VA services after a policy update, pilots acknowledge and accept the revised terms. If a pilot disagrees with any changes, they may contact Brussels Airlines VA for further clarification.
Pilot Requirements
The pilot must have a legal copy of a Flight Simulator.
The pilot must use their real identity to join the Virtual Airline.
The pilot must demonstrate professionalism and realism.
The pilot may not hold a staff position in another Virtual Airline.
The pilot must show respect to all member airlines.
The pilot must treat all members and staff with respect.
The pilot must review the rules monthly to stay informed of any changes.
Hour Transfer
When a pilot joins, they are allowed to transfer hours from a previous Virtual Airline. This is ONLY valid upon registration. We do not allow the transfer of hours from IVAO, VATSIM, or any other online network.
Inactivity
Flight Activity Requirement
A pilot must complete at least one flight every three months. If a pilot remains inactive for more than three months, they will be placed under suspension, and an email notification will be sent.
Suspension & Removal Process
Upon receiving the suspension email, the pilot has two weeks to respond and confirm whether they wish to remain active. If no response is received within this period, the pilot will be removed from the system, and all associated data will be permanently lost.
Reinstatement After Suspension
Suspended pilots may request reinstatement by contacting Flight Operations. Upon approval, the suspension will be lifted, and the pilot will regain access to the Virtual Airline. No flight data will be lost during this process.
Exceptions to the Suspension Rule
Exceptions to the suspension policy may be granted under the following conditions:
Rejoining After Exception
If an exception is granted, the pilot must contact Brussels Airlines VA personally and complete their first flight within one month of reinstatement. Awards and previously logged hours will not be restored after rejoining.
Flights
General
Each flight requires the submission of one PIREP. Submitting more than one PIREP per flight is not permitted, and pilots may submit their PIREP via ACARS or the website.
Extracting and reusing log content manually is considered fraud and will result in suspension.
Staff will review all PIREPs as soon as possible and may remove any PIREP deemed incorrect.
Brussels Airlines VA reserves the right to request additional information regarding a PIREP if discrepancies are identified or as part of a routine check.
Pilots must not submit a PIREP for a flight they did not complete themselves.
Each flight may only be logged once with a correctly submitted PIREP.
Event participation may only be logged if the pilot personally took part in the event.
Pilots are not required to conduct flights at the exact time listed in the timetable; however, they are encouraged to synchronize their FS clock accordingly.
Pilots must verify all flight details before starting to ensure correct logging procedures.
Offline / Online
All flights can be flown online.
Events should be flown online unless stated otherwise.
Aircraft
The pilot is not required to fly with the indicated aircraft; it is merely a reflection of the real-life flight. However, we encourage its use.
If the pilot chooses an aircraft type different from the timetable, they must adjust their speed to align with the indicated flight time.
Virtual flights flown with y/c aircraft must also remain within the timeframe specified in the virtual timetable.
For Special Flights and Tours, pilots must use the designated aircraft type.
Simulation Rate
The maximum simulation rate is 1x.
Flights flown at a higher simulation rate than allowed will be cancelled.
Individual Pilot Requirements
Pilots will receive assignments based on the specifications of their system (see §5).
Pilots can select flights of their preference in the Flights section of the site.
Pilots are allowed, but not required, to fly the return flight of their assignment; however, they must set this preference beforehand.
Pilots may fly Special Flights at any time.
Pilots are permitted to fly events and log their flights, but they must not depart before the indicated departure time specified in the event documentation.
When flying online, Flight Operations will not accept data from external online networks. Only flight data recorded through BEL-Track will be accepted.
Tour & Event Flight Validity
For all tours and events, flights are considered valid as long as they are started within the designated timeframe specified in the "Valid From" and "Valid To" fields.
Flight Operations
General
Some flights consist of multiple legs. Every pilot must check their flight information carefully before departure.
If the PIREP is incorrect, the flight will be cancelled, and reflying will be required.
Regarding flight time, the system allows for a margin of shorter or longer durations. If the pilot exceeds this margin, the PIREP will be cancelled or locked.
In case of an appeal regarding our decisions, pilots must provide relevant information such as the log, weather conditions, ATC instructions, and other supporting details.
